New Email & Calendaring Suite - Zimbra

Over the coming month we will be migrating all users over to a new email package which is truly rich in useful features. In addition to an email program that includes advanced searching, spam/message filtering, and drag-drop capabilities, the package also includes a long awaited personal calendar. To expedite the process of moving over to this new collaboration suite, please read the following instructions carefully.

1. Dump the garbage!
2. Know your email username and password!
3. Enter username twice.
4. No more forwarding.
5. Wow!
6. Change settings in email browsers.


1. Dump the garbage!
Please, as soon as possible, get rid of unwanted emails and empty your email trash folders. Migrating garbage for 8000 users will slow down the process considerably.

2. Know your email username and password!
Prior to August 12th, you will need to know your username/password in order to access your new McDaniel email account. If you can't recall this combo, please contact help@mcdaniel.edu . After August 12th, this same username/password will be used to log you into Blackboard, The Archway and in time, the new intranet.

3. Enter username twice.
You will be prompted to enter your username twice during the course of the move. One time will be to check if your account has been moved and to point you to the correct server where your email is stored. The second login prompt will log you into the server and allow you to view your email. Once you get redirected to the Zimbra page, you have been successfully moved and can now bookmark this as your login page. Note: As each individual user account is moved, that user will not be able to access their email for a short period of time. For most people, the down time will be 10 minutes or less. From our calculations, the longest account move will take 35 minutes (someone out there has a lot of mail on the server!)

4. No more forwarding.
Sorry, we can no longer forward your email account for security reasons. In the past we have permitted forwarding of your McDaniel email account to an off campus server; this practice must now be discontinued, regretfully. Due to federal mandates, including FERPA, all confidential material (i.e. grades, transcripts, all material containing personal information) transmitted from and to the institution must be secure. When we forward mail, we have no control over whether the transferred mail will be bounced, blocked or attributed to another user by the receiving server. For information justifying this new policy, follow this link: http://www2.mcdaniel.edu/it/email/Zimbrauserstart.html However, one of the new features in this program is the option to notify an off campus email account when new email hits your McDaniel account.

After you have logged into your McDaniel Email account, you will still be able to forward individual email message to another account.

5. Wow!
Once your account has been moved, you will see a huge change in the webmail interface and functionality. Instead of having to mark messages and then select a destination folder in order to move them, drag-and-drop functionality is now available. A search feature permits both quick and advanced searches of selected folders. Threaded messages can be viewed in conversation mode. You will be able to set your own auto-response or "vacation" message from within the webmail interface. There are many more enhancements described in the user's manual. 6. Change settings in email browsers.
If you access your email through the webmail interface, there are no settings changes to be made. If you are using an email browser (Outlook Express, Thunderbird, Apple Mail, etc.) to check your McDaniel email, there are some settings that will have to be changed in order for this to continue working. We are compiling a set of directions for how to make these changes in all major email browsers. You can expect to see these directions in the coming week.
