Effective Email
Strategies – Grade 9
- While grammar and punctuation
are not as important as in formal letter writing, emails should be as
grammatically correct as time permits and should be understandable for the
reader.
- When writing emails try not to
be sarcastic. The reader cannot tell that there is sarcasm in your
tone and may take offense.
- Feel free to ask questions. Email
can be sent in a matter of seconds and questions may be answered in a
matter of minutes.
- When emailing people in
authority situations, use proper letter writing techniques. Include
dear, sincerely, and the date.
- Respond to emails in a timely
matter. The information that a person is asking for may be very
important to what they are doing.
- Do not email strangers personal
information.
- Be careful who you forward
messages to. Many people do not enjoy getting them and some may
contain viruses.
- When including fancy texts or
graphics remember that not everyone has the ability to see these items the
way you do. By the time the reader gets it they might see something
completely different then you sent.
- Learn how to send group
emails. It’s time saving and makes it easy to distribute a lot of
information quickly. Whether it’s a study group or your friends
planning on what they should do this weekend, it will save you a lot of
time.
- Do not open emails from people
you do not know. Emails may contain viruses or bugs that could affect
your computer. If you receive something from someone you don’t know
send that person an email asking who he or she is.
