Ms. Staub’s Email Suggestions
Dear
Students:
I have made
a list for you of the top ten suggestions I have when writing an email. Please
make sure to follow these suggestions when you are typing emails. If you have
any questions, please let me know! Thanks. J Ms. Staub
1. Do NOT
use all capital letters. When someone is reading the email they will assume
that you are yelling at them.
2. Use proper English instead of using slang terms. You can come across as lazy
or as a poor speller.
3. Use spell check to check the spelling of your emails before sending them.
4. Reread your emails before sending them to make sure you have fixed any
errors.
5. Write a subject in the subject line so the recipient will know what your
email is about before you open it. Sometimes recipients will think an email is
SPAM if there is no subject in the subject line.
6. Make sure you write the email in letter format with a greeting, body, and
signature. The person may not know who the email is from if you don't sign it.
7. If the email is urgent and needs immediate attention, place a high priority
on the email using the red flag or important button.
8. If you have attachments to add to the email, make sure you choose the
correct attachments before sending the email.
9. Recheck the To: field to make sure you correctly
wrote the recipient's email address. You wouldn't want some emails going to the
wrong person.
10. Create email distribution lists if you have more than one person that you
send emails to on a regular basis, like group members for class.
