The use of email is one of the most popular and effective forms of communication today. Users are able to transfer files, ideas,documents, pictures and video at the speed and efficiency of the telephone with the convenience of no time barriers. However, new users and students should take precaution when setting up and using emails and follow some basic guidelines for optimal communication, results and safety. Below is a list of email tips and suggestions that introduce some of these guidelines.


  1. When creating your email account, choose an address that is appropriate and safe.

  2. Do not give your email account password or any sensitive information to anyone you do not know.

  3. Do not open or download any attachments or files from people you do not know or trust.

  4. The subject line should correspond with the purpose of the email.

  5. Be clear, concise and to the point in the body of the message.

  6. Be sure to reread to double check for grammar and spelling errors.

  7. Understand that once the message is sent, it is sent.

  8. Use the 24 hour rule when upset or angry and wait for emotions to settle.

  9. Try to respond to all emails within 48 hours even if it is a short response stating you will get back with them soon.

  10. Use an appropriate closing and signature with contact information.
