letters, sending faxes or making phone calls; and it’s faster! Email is one of the most popular ways of
communication on the internet. Follow these suggestions / tips below for
successful communication.
Tip 1: Keep your
email messages short and to the point; too much information could get confusing
for the recipient.
Tip 2: Always enter a subject in the
subject line, but keep it brief, meaningful, and easy to understand. Entering a
subject helps the recipient identify with the email quicker.
Tip 3: You
can use gestures and smiley’s but don’t overdo it, as
it might ruin the email with characters and take away from the actual email
message.
Tip 4: Review
your language in the email before sending it. Try to look for spelling errors,
double words, or missed words. If you are sending emails with lots of spelling
and grammatical errors people might assume that you are not intelligent and
others may get offended.
Tip 5: If you
know your correspondent well you do not need to write an in depth signature at
the end of the email. They know you and will probably already know other ways
to reach you, if needed.
Tip 6: When
greeting someone in the United States you can be informal, but if you are not
familiar with whom you are addressing or they are from another country, one
must select their greetings with caution. Other countries and cultures might
not understand your greeting or could be offended by the greeting. There are
different meanings for words in different countries and cultures.
Tip 7: Be aware of the page layout. Use
short paragraphs and plain readable text.
Tip 8: Do not open emails from someone
you do not know. If you do this, you may download a virus or the information in
the email may upset you.
Tip 9: Do not forward emails to your
friends and family if you do not know what they are and where they came from.
You could be sending your friends and family a virus without even knowing.
Tip 10: Respect the privacy of others in
email. Watch what you say and who you send or forward emails to. All email’s
can be saved or printed for farther review. If you write the email or forward
and inappropriate email you better be able to explain.
