Email Tips

 

 

            Email is a fun way to communicate with friends, family and teachers. It is easy to access people you know any time. Emailing is easy but there are some things to remember while emailing.  Here are some tips to help.

 

 

  1. Make detailed, yet short subject lines.

Make sure the receiver know what the email is about.  This will prevent the receiver from accidentally tossing the mail.

            Ex.: Question about Friday’s Exam

            Bad example: ??

 

  1. Don’t send an email in all caps.

“WHY DIDN’T YOU EMAIL ME?” Doesn’t that seem like I’m yelling at you? If you put your email in all caps, it may come across as being angry at the receiver.  Make sure you use proper capitalization.

 

  1. Get to the point!

Don’t spend the whole email trying to make a point you can do in one sentence.  Make it short and concise.

 

  1. Be professional.

Don’t use abbreviations like “U R 2 Nice” or “Thanx”.  Use proper English when writing emails.

 

  1. Attachments

Make sure you ask the receiver if they will accept attachments, especially ones that are large.  If you don’t, they may open a file that’s too big for their computer to handle.  Also make sure to accompany the attachment with a description explaining what the attachment is. 

 

  1. Always check spelling and grammar before you send the email!

 

7.  Know your buttons!

Make sure you take note of the ‘reply’ button and the ‘reply to all’ button.  ‘Reply all’ will send to all the recipients of the initial email.  If you don’t want them to see it, just hit ‘reply’.

 

      8.  Be careful with punctuation!

            Use punctuation like you would in a paper.  Be proper or the wrong message may be sent.

 

  1. Don’t forget to sign your name! You want to make sure the receiver knows you are the sender.

 

10.  Read your email before you send it! Also keep in mind that someone other than the receiver may read your email. Be careful!
